 A common issue with Dynamics 365 or Power Apps portals is that notes created in CRM may not appear on the portal. This is typically because the notes lack a specific identifier required for visibility.

Key Solution: The "WEB" Identifier

To ensure notes are visible on the portal, include the identifier "WEB" in the note content. This identifier signals that the note is intended for portal visibility:

  • Notes With "WEB": These are displayed to portal users.

    Notes initiated from the portal automatically include this "WEB" identifier. This ensures that communications from customers or external users are visible as required.


  • Notes Without "WEB": These are treated as internal and won't be visible on the portal.

    Notes that you intend for portal users to see must include the "WEB" identifier. Without this marker, the system defaults to treating the note as internal, thus not displaying it on the portal.




Consistency Is Key

It’s crucial to use the "WEB" identifier in uppercase. Using lowercase "web" might display the note on the portal but will also show the identifier, which can be confusing.
